Frequently Asked Questions

What file formats can I upload for processing? Batch Jobs and PDF Merger only accept PDF files. Attachments accept a broader range: images, PDF, Word, Excel, PowerPoint, and text files. The AI Assistant for Document Types also accepts images, PDF, Word, Excel, PowerPoint, and text files as sample documents.

What's the difference between Instant and Lazy processing? Instant is faster and best suited to smaller batches (under roughly 200 files) or when you need results quickly. Lazy is slower but prioritises accuracy, and is recommended for larger batches. See Best Practices.

How many documents does one PDF create? One per page. A 20-page PDF uploaded to a batch job becomes 20 separate documents once processing completes.

What does "confidence" mean? It's a score the platform assigns each extracted field, reflecting how sure it is that the value is correct. Fields below the confidence threshold are flagged for your review, but only if they're marked Required on the Document Type.

Can I change a field's value after a document has been reviewed? Yes. Open the document from the Documents library and edit the field as normal, then save.

Can I undo rejecting a document? No - rejection is permanent. Always double-check before confirming.

Can I undo deleting a Document Type, Catalogue, Export Preset, or Batch Job? No, all deletions in the platform are permanent. You'll always be asked to confirm first.

Do I need to create a Document Type before using PDF Merger or PDF Cleanup? No. Both modules are standalone tools that work on your PDF files directly in your browser, independent of any Document Type or batch job.

Why can't I see the AI Assistant button on the Document Type editor? It's currently limited to users with the Super Administrator role. See Roles & Permissions.

What's the "Apollo" tab I see in search? It's a natural-language search mode that's planned for a future release. It's currently shown but disabled.

Can I export to formats other than CSV? CSV is currently the only supported export format.

How do I find documents that are still awaiting review? Check the Pending Review figure on your Dashboard for a running total, and open any Batch Job to filter its documents by Status: Pending.

Can more than one organisation share the same Document Type or Catalogue? Administrators can mark a Document Type as a Default Document Type, making it available as a starting template for every organisation. Regular Document Types and Catalogues otherwise belong to a single organisation.

Who can I contact if I'm stuck? Use Get Help or Report Issue at the bottom of the sidebar to reach support directly from within the platform.
