Roles & Permissions
Access to the platform is controlled at two levels: your organisation role, and (for platform administrators) a separate super administrator role.
Organisation roles
Within your organisation, you'll typically be assigned one of:
- Admin - broader access within your organisation, generally including the ability to manage settings that affect everyone.
- User - standard day-to-day access to process and review documents.
Exactly what each role can do is governed by a set of granular permissions covering:
| Area | Actions |
|---|---|
| Documents | Create, Read, Update, Delete |
| Document Types | Create, Read, Update, Delete |
| Catalogues | Create, Read, Update, Delete |
| Batch Jobs | Create, Read, Update, Delete |
| Export Presets | Create, Read, Update, Delete |
| Search Presets | Create, Read, Update, Delete |
| Groups | Create, Read, Update, Delete |
If you don't have permission to view or use a particular area, its entry simply won't appear in your sidebar. For example, if you don't have the Read Documents permission, the Documents link won't be shown to you at all.
If you believe you're missing access you should have, contact your organisation's administrator to review your assigned permissions.
Super Administrator
A small Super Administrator role sits above individual organisations and unlocks the Administration area of the sidebar:
- Organisations - create and manage organisations across the whole platform.
- Prompt Rules - create and manage the reusable extraction rules available to every Document Type editor.
The AI Assistant on the Document Type editor, and the Default Document Type toggle, are also currently restricted to Super Administrators.
If you don't see an Administration section in your sidebar, your account does not hold this role.
Switching organisations
If your account belongs to more than one organisation, use the organisation switcher at the bottom of the sidebar to change which organisation's data you're viewing and working with. Everything you see - documents, document types, catalogues, batch jobs - is scoped to whichever organisation is currently active.
